We all know how much first impressions mean. When you are in an industry where you have to constantly be in contact with your customers or clients, then you know every interaction does count. You also know the value of a happy customer. This is where professional phone greetings come into play. All too often you may find yourself away from your desk which means that if someone is contacting you, they will probably not be able to reach you. Their request to go to the IVR prompt. The message they hear upon a missed call or going to voicemail says a lot about your professionalism and company.  It must be as professional as possible. 

These tips will help you in recording the right message for all your customers:

Write it down: It helps to have a script.  It may be wise to focus on the mission of the IVR: Sharing personal details, a favorite quotation or slogan, for example.  A person on hold should feel relaxed upon hearing your greeting, so the tone friendly and conversational.

Keep it short:  Long messages bore people.  They tend to skip them.  If your message is longer than three minutes, it is too long.  Keep it professional, concise, and clear.

Limit the background noise: Background noise in a professional recording makes the business seem just the opposite – unprofessional.  Avoid background noise by contacting a recording studio to professional manage your script by means of a voice actor.
